To be considered for sponsorship, you are required to submit a proposal on behalf of your not-for-profit organisation, charity, arts, community, and sporting or tourism activity.
This proposal should succinctly introduce your organisation, provide relevant background and present a logical, well-researched response on why your event should be sponsored. QR Limited Passenger Services Group (PSG) receives many requests for sponsorship per day and unfortunately we are unable to sponsor all requests. Hence, it is important that you provide us with as much information as possible to allow us to assess your request. Essentially a business document, your proposal should be professionally presented in terms of content and layout.
PSG will only accept written proposals on the organisation letterhead (requests are never agreed to over the phone).
The proposal must be received at least six weeks prior to the event to allow sufficient time to process the proposal and, if successful, coordinate recognition opportunities. Please note that larger events will require a longer time to process.
The proposal should include the following relevant information:
- Correctly addressed to PSG Marketing (details at bottom of page)
- A concise outline of the proposed event
- Event date\
- The benefits of PSG
- Success of previous or similar event
- Terms and conditions of the agreement
- Any references
- Affiliations
- List of attendees and guests
- List of other confirmed sponsors and levels
- Media involvement i.e. radio station, local newspaper
- Sponsorship value
- Event budgeting
- Supporting media clippings/videos
- Use of official registered logos
- Contact names and telephone numbers
- Notification of the involvement of any paid fundraising groups or marketing companies

Evaluation:
PSG evaluates all sponsorships. This process can take up to six weeks (depending on the size of the sponsorship) during which time you may be asked for further information or to attend a meeting.
Confirmation:
PSG will contact you in writing to advise the outcome of your proposal.
If successful, you will require approval if you wish to use the QR Limited or any product logos in any promotional form (ie: printing, advertising, and signage). PSG will prvide you with a copy of the logo and guidelines to ensure proper use of the same. A copy of the final artwork is to be approved by PSG when using any QR Limited logo.
Review:
Events should generate awareness of QR Limited products and create a lasting impression. Our intent is to stimulate stakeholders of QR Limited on a continual basis. We seek to encourage brand loyalty and brand equity. We look for ways to send a message to consumers prior to, during, and after events that result in commercial outcomes. The events that offer extensions into the market through advertising, public relations, media placement, point of purchase and cross-promotion are preferable to us.
The post-event review is a process to ensure the future long-term success of the sponsored event. A file of media clippings, programs, brochures, photographs and television coverage should be delivered to the company soon after your event and possibly a review meeting to debrief event highlights, shortcomings and suggestions for future improvement.
Decisions:
QR Limited PSG has the right of refusal to all requests. Even if PSG's criteria are fully or partially met, the sponsorship still may be declined, as the criteria is a minimum only.
- PSG Sponsorship arrangements are not a donation
- PSG is a commercial business and seeks return on sponsorship investment. Unfortunately not all requests can be accepted
- You must provide us with as much information as possible
- Who is your target group and the expected numbers that your event/activity will have impact on
- Opportunities for PSG to promote our products and services
- Applicants must have an ABN and be GST registered
